The licence maths. 420 Copilot seats at €28 are €11,760 a month. Before the Helpdesk: 61 active users, value not measurable. After one quarter of Helpdesk: 92 active users, 73 solved requests, around 580 hours saved a month, at €60 an hour around €35,000. Helpdesk cost for the quarter: €10,800.

Common questions
“Does this fit our situation?”
The Helpdesk kicks in in four typical situations: an AI rollout is coming up and you want adoption built in from day one. Tools are live but the ROI is unclear. The training is done, the open-minded are active, the broad base holds back. Or AI costs are spiralling and you need cost optimisation and tool consolidation. In all four cases, the Helpdesk starts at the concrete task, not at the strategy.
“We have Microsoft and OpenAI support. Isn’t that enough?”
Vendor support solves the technical side: licences, login, bugs. It doesn’t solve: how do I use this in my job, how do I combine two tools, how do I build a workflow? That’s application coaching, and that’s exactly the gap the Helpdesk fills.
“We have training and a champion or ambassador programme. Do we even need the Helpdesk?”
Yes, as a complement. Training lays the foundations, champions and ambassadors are strong multipliers for the broad base. Both have limits: the training is over when the concrete question comes, and champions hit limits on tool depth, being available at the right moment, and their own day job. That’s where the Helpdesk takes over. It complements your programme, it doesn’t replace it.
“Does the Helpdesk cover the AI literacy obligation under the AI Act?”
Since February 2025, Art. 4 of the EU AI Act requires companies that use AI to take measures to ensure sufficient AI literacy among their staff. How you meet and document that obligation is for you to settle with your legal advisers. The Helpdesk picks up from there: employees learn to use AI safely and sensibly on their own tasks. That turns mandatory training into everyday practice.
“What do we see as the employer of what an employee asks?”
In the overview and on the invoice you see who booked a session when, with duration, tier and cost. The topic, the questions and what was learned, you don’t see. What flows back are anonymised topic clusters (‘lots of questions about Excel formulas’), blockers, tool needs and the proof of value. That’s deliberate: the Helpdesk is there to help, not to monitor. Only then do employees actually use it.
“What does the expert see of our data?”
In the session, only what the employee shares, like any IT helpdesk. The experts work inside the wirkt.ai Office 365 environment, not on their own systems. Recording only with consent from employee and expert. And you decide which tools are covered at all.
“Can employees book themselves and we reimburse?”
Yes. Employees book on their own account, the invoice recipient is free to choose, including the company. Many employers reimburse sessions as professional development from the training budget. For getting started with a few people, that’s often the fastest route. A company account with budget, tool catalogue and reports pays off from the first team.
“What budget do we start with?”
The Helpdesk doesn’t require a company-wide commitment. Most start with a single team or department and a budget of €3,000 to 5,000, enough to see real usage over several weeks. You’re still only billed for what’s actually used; the budget is a ceiling, not a fixed fee.
“How fast is it, really?”
An expert for that exact tool gets in touch the same business day, and the session takes place the next day. Urgent requests get prioritised.
“What if an employee doesn’t take to the Helpdesk?”
Adoption comes in waves: first the open-minded, then the observers. Nothing accelerates it more than leaders using AI visibly, and your champions using sessions themselves and talking about it. And once the first sessions go well, word spreads internally on its own.
“Why don’t the experts just build it for us?”
Because the know-how would walk back out with the provider, and every change would be a new contract. Our experts show your employee how to build it themselves. The workflow takes shape on their keyboard, they understand it, adapt it, keep running it. Instead of a dependency, you build capability in your own team.
“We need more than the Helpdesk.”
